This policy explains what personal information Experimental Perfume Club collects, why we collect it, how we use and protect it, and the rights you have over it. It also explains how we use cookies. Please read it together with our Terms & Conditions and Terms of Website Use.
How we look after your information
1. Who we are

Experimental Perfume Club Ltd is the data controller responsible for your personal information. We are a company registered in England and Wales under company number 10305110, with our registered office at 53 Monmouth Street, London WC2H 9DG. We are registered with the UK Information Commissioner's Office (ICO) under registration number ZB859674.
Our representative in the European Union for the purposes of the EU General Data Protection Regulation is Experimental Perfume Club SAS, 250 bis Boulevard Saint-Germain, 75007 Paris, France. If you are in the EU, you may contact them with any matter relating to your personal information.

2. The information we collect
In shortWe collect what you give us when you order, book or subscribe, and technical information about how you use our site. We never see your full card details.
Information you give us. When you place an order, book an experience, create an account, subscribe to our newsletter, complete our fragrance finder, contact us, or leave a review, you may give us your name, delivery and billing address, email address, telephone number, date of birth where required, fragrance preferences, and the content of your messages or reviews. If you tell us about an allergy or sensitivity before an experience, we record it only to keep you safe during the session.
Payment information. Payments are processed by Shopify Payments, PayPal and Klarna. We never receive or store your full card number.
Information collected automatically. When you browse our site we collect technical data such as your IP address, browser type, device and operating system, time zone, and how you navigate the site, including pages viewed and products searched. This is collected through cookies and similar technologies, explained in the Cookies section below.
Information from others. We receive limited information from our service providers, such as delivery confirmation from our couriers and fulfilment partners, payment confirmation from our payment providers, and analytics from providers such as Google and Meta.
3. How and why we use it
In shortWe use your information to fulfil your orders and bookings, to run and improve our business, and, only if you have opted in, to send you news you can unsubscribe from at any time.
UK data protection law requires us to have a lawful basis for every use of your personal information. These are ours:

Where we rely on legitimate interests, we have balanced them against your rights and interests. You can ask us for detail on any of these assessments.
We do not use automated decision-making that produces legal or similarly significant effects about you, and we do not sell your personal information.
4. Who we share it with
In shortOnly the partners who help us serve you: our fulfilment warehouses, couriers, payment providers, and the platforms that run our store and emails. Never sold.
We share your information only where needed to provide our services, with:
- Fulfilment and delivery partners: our warehouses in the Netherlands and the United States, and couriers including Royal Mail, DPD, UPS, DHL and FedEx, who receive your name, address and contact details to deliver your order.
- Payment providers: Shopify Payments, PayPal and Klarna. If you choose Klarna at checkout, your contact and order details are shared with Klarna to assess eligibility for their payment options, under Klarna's own privacy notice.
- Platform and technology providers: Shopify, which hosts our store, our email platform, our reviews provider, and our analytics and advertising partners, as described in the Cookies section below.
- Our group: Experimental Perfume Club SAS, our European entity, for production, fulfilment and regulatory purposes.
- Professional advisers and authorities where the law requires it, to enforce our terms, or to protect the rights, property or safety of our business or our customers, including for fraud prevention.
If we sell or buy any business or assets, or if substantially all of our assets are acquired, personal data may be transferred as part of that transaction, and we will notify you of any change of controller.
5. Where your information goes
In shortYour data is mostly held in the UK and EU. Where it goes further, such as to our US warehouse, we use legally approved safeguards.
Your information is processed in the United Kingdom and the European Union, and in limited cases elsewhere, in particular by our fulfilment partner in the United States for orders shipped there, and by technology providers who operate globally.
Whenever your information leaves the UK or EU, we protect it using safeguards recognised by UK and EU law: an adequacy decision (including the UK–US Data Bridge and the EU–US Data Privacy Framework where the recipient is certified), or the International Data Transfer Agreement or Standard Contractual Clauses. You may contact us for information about the safeguard applied to a specific transfer.
6. How long we keep it
In shortOrder records are kept 6 years for tax law. Newsletter data is deleted when you unsubscribe. Everything else is kept only as long as needed.

7. How we protect it
In shortEncrypted connections, secure platforms, and access limited to those who need it.
Our store runs on Shopify's secure, encrypted infrastructure, and all payment transactions are encrypted. Access to personal information within our team is limited to those who need it to do their jobs. Where you have a password for your account, please keep it confidential.
No transmission over the internet can be guaranteed fully secure, but once we receive your information we apply strict procedures and safeguards to prevent unauthorised access, and we will notify you and the ICO of any breach where the law requires it.
8. Your rights
In shortYou can ask for a copy of your data, have it corrected or deleted, object to how we use it, and take it elsewhere. It is free, and we respond within a month.
Under UK data protection law you have the right to:
- Access the personal information we hold about you, free of charge
- Rectify information that is inaccurate or incomplete
- Erase your information where there is no good reason for us to keep it
- Restrict how we use it in certain circumstances
- Object to processing based on legitimate interests, and to direct marketing at any time
- Port your information to another provider in a structured, machine-readable format
- Withdraw consent at any time where consent is our lawful basis, without affecting processing already carried out
To exercise any of these, email contact@experimentalperfumeclub.com. We will respond within one month. To unsubscribe from marketing, simply use the link at the bottom of any of our emails.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk/concerns or on 0303 123 1113. If you are in the EU, you may also complain to your local supervisory authority. We would appreciate the chance to resolve your concern first.
9. Children
In shortOur site and products are for adults. We do not knowingly collect children's information.
Our website and products are intended for those aged 18 and over, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
10. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in the law. Changes will be posted on this page with an updated date below, and where a change is significant we will notify you by email.

11. What cookies are and how we use them
In shortCookies are small files stored on your device. Essential ones make the shop work. Everything else — analytics and marketing — only runs if you say yes.
Cookies are small text files placed on your device when you visit a website, along with similar technologies such as pixels and local storage. We use them to make our shop work, to understand how the site is used, and, with your consent, to make our marketing more relevant.
When you first visit our site, a banner asks for your consent before any non-essential cookies are set. Refusing is as easy as accepting, and you can change your preferences at any time using the cookie preferences link on our site or through your browser settings.

These third parties may use the information collected under their own privacy notices, linked above. Cookie lifetimes vary from the duration of your visit to up to two years; the specific cookies set by each provider may change as their services are updated.
13. Managing your cookie preferences

You can change or withdraw your cookie consent at any time using the cookie preferences link in our site footer. You can also block or delete cookies through your browser settings; your browser's help pages explain how. Blocking essential cookies may stop parts of the shop from working, such as the basket and checkout.
